JobSite Intel AI, part of Varshyl Inc. ("Varshyl," "we," "us," or "our"), is committed to protecting your information. This Privacy Policy explains how we collect, use, store, share, and protect information when you use our website, applications, products, and services.

By using JobSite Intel AI, you agree to the practices described here.

Information We Collect

Account and Identity Information:

• Name, email address, phone number
• Company name, job title, role
• Account login credentials (passwords stored using bcrypt; we never store plaintext passwords)
• Profile photo or avatar

Project and Field Documentation

• Project names, addresses, and client information
• Field photos, videos, and voice recordings
• Daily log entries and field notes
• AI-generated transcriptions, narratives, and summaries
• Structured field data: crew activity, equipment, materials, deliveries, delays, safety observations, visitors
• Weather data associated with project locations
• Change order and billing support documentation
• Insurance-related documentation

Technical and Device Information

• Device type, operating system, browser type
• IP address and approximate location (derived from IP)
• Usage activity, feature interactions, and session data
• Error logs and crash reports (collected via Sentry, our error monitoring provider)

Voice Recordings and Transcription

When you use voice note features, your audio recordings are transmitted over encrypted connections to our servers, transcribed using AI transcription services (OpenAI Whisper or equivalent), and stored as text transcripts associated with your project and log records. They are never sold or shared with third parties for advertising purposes.

By recording audio in the platform, you confirm that you have obtained any required consent from others who may be recorded under applicable law.

How We Use Your Information

We use your information to:

• Provide, operate, and maintain the platform
• Create and manage user accounts and organizations
• Organize and store field documentation
• Generate AI-assisted transcriptions, summaries, reports, and insights
• Send scheduled and on-demand reports to you and your designated recipients
• Communicate with you about the service (administrative messages, updates, security notices)
• Investigate and resolve support requests and errors
• Monitor platform security and detect fraud or unauthorized access
• Improve platform performance and develop new features
• Comply with legal obligations

AI Processing of Your Data

Core AI features — including voice transcription, narrative generation, risk identification, and report creation — process your uploaded content. This processing is necessary to provide the service you signed up for.

We do not use your project content to train external AI models without your explicit, separate consent. Data sent to third-party AI providers (Anthropic Claude, OpenAI Whisper) is processed per their respective data processing terms and is used solely to generate your requested outputs.

Construction Intelligence Engine (Optional Opt-In): In a future release, you may be invited to opt into the Construction Intelligence Engine — a program that uses anonymized, aggregated data to generate cross-project intelligence. This opt-in is strictly voluntary, unchecked by default at signup, and separate from all other consents. You can update this preference in your account settings at any time. Declining this opt-in has no effect on your access to the platform.

Data Ownership

You retain ownership of all project content and documentation uploaded to JobSite Intel AI. By uploading content, you grant us a limited license to host, process, store, organize, display, analyze, and transmit that content only as needed to provide and improve the service.

We do not claim any ownership interest in your project data.

Data Retention

We retain your data for as long as your account is active or as needed to provide the service.

• Active account: Data is retained for the life of the account.
• Account deletion: When you request account deletion, your account enters a 30-day grace period. After 30 days, your account and associated project data are permanently deleted, subject to the exceptions below.
• Retention exceptions: We may retain certain data after account deletion as required by law, for fraud prevention and security investigations, for audit and compliance obligations, for payment dispute resolution periods, and for tax and financial record retention requirements.
• Anonymized and aggregated data: De-identified, aggregated data may be retained beyond account deletion for platform improvement and analytics purposes.
• Backup data: Backup systems may retain copies of deleted data for up to 90 days following the deletion date.

Sharing Your Information

We do not sell your personal information. We do not share your personal information with third parties for their own marketing or advertising purposes.

We may share information with:

• Service providers (subprocessors): Companies that help us deliver the platform — including hosting, AI processing, error monitoring, email delivery, authentication, and payment processing. See the full list at /subprocessors.
• Your organization: Other members of your organization on the platform can see project data, reports, and logs within your shared workspace, subject to their assigned role.
• Report recipients: When you choose to send a report to a client or team member, we transmit that report content to the email address(es) you specify.
• Legal compliance: We may disclose information if required by law, court order, or government authority, or to protect the rights and safety of users, the platform, or the public.
• Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to applicable law.

Your Privacy Rights

Depending on your location, you may have rights regarding your personal information. These may include:

• Right to access: Request a copy of the personal information we hold about you.
• Right to correction: Request correction of inaccurate or incomplete information.
• Right to deletion: Request deletion of your personal information, subject to applicable retention requirements.
• Right to portability: Request your data in a commonly used, machine-readable format.
• Right to opt out: Opt out of any voluntary data use programs (such as the Construction Intelligence Engine opt-in).

Account Deletion

You may delete your account at any time through the platform: Settings → Danger Zone → Delete Account.

Your account will enter a 30-day grace period. During this period, you can cancel the deletion. After 30 days, your data is permanently removed per the Data Retention section above.

Children's Privacy

JobSite Intel AI is designed for business and professional use and is not directed at children under 13. We do not knowingly collect personal information from children under 13. If we learn that a child under 13 has provided us with personal information, we will delete it promptly.

Security

We implement commercially reasonable security measures to protect your information, including encrypted data transmission (TLS/HTTPS), HMAC-signed file access controls, organization-scoped data isolation, JWT-based authentication, bcrypt password hashing, role-based access controls, and security monitoring via Sentry. No internet-based service can be guaranteed completely secure. In the event of a security incident affecting your data, we will notify you as required by applicable law.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes through the platform or by email. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
